UACA Event & Rental Coordinator Position Description

The Ukrainian American Citizens’ Association (UACA), a non‐profit organization located in the popular Northern Liberties neighborhood of Philadelphia, PA, seeks an energetic, part‐time Event & Rental Coordinator to coordinate rental events. UACA provides hall and outdoor spaces for UACA members and the community to host weddings, private parties, sporting events, fundraisers, festivals, meetings and more. The Rental Coordinator is responsible for planning, coordinating and overseeing the execution of all events and reports directly to the UACA Director responsible for rentals. 

Responsibilities:

• Responding to rental inquiries in a timely, effective and proactive manner
• Scheduling and providing venue tours and one‐on‐one coordination meetings with renters prior to their rental
• Renter contract and document administration
• Collecting all fees and distributing receipts prior to events
• Providing coordination appointments with renters and the Director prior to their rental (varies according to the complexity of the event)
• Working with the Director and Bar Manager to ensure the facility is in good condition and stocked with necessary supplies
• Scheduling and managing cleaning services; please note all renters are responsible for leaving the facility in the same condition as they found upon arrival
• Working in conjunction with the Director to promote the rental program
• Working with UACA staff to ensure all contractual agreements are met by both parties and that UACA policies and procedures are followed

Qualifications:

• Ideal candidate will be responsible, detail‐oriented, proactive and have the ability to represent the UACA in a friendly and enthusiastic manner
• Excellent communication and customer service skills
• Background in professional event planning and coordination experience preferred
• Ability to accurately multitask under pressure with attention to detail
• Flexibility, the ability to problem solve, and a sense of humor a must
• Ability to lift 40 lb
